About Your Opportunity

Reporting to our Group Support Officer People, Culture & Safety, you will provide efficient administrative support services to the Group Support Officer and broader team.

Key responsibilities:

  • Provide efficient administrative support services to the Group Support Officer and broader team, in an environment where confidentiality, responsiveness and proficiency are essential by ensuring that corporate and operational policies/procedures are adhered to effectively and efficiently.
  • Provide a high standard of clerical, administrative and business system support.
  • Prepare drafts and/or final copy of communications, reports, presentations, meeting agendas, meeting minutes and other documents.
  • Capable of relieving in higher duties and covering the role of Group Support Officer when required, while providing dedicated support to the EGM PCS and ensuring seamless service continuity.
  • Develop and organise office systems and procedures, including developing and maintaining effective communication channels, feedback support and follow-up mechanisms, to ensure effective communication within the team and an effective interface between employees and internal and external contacts.
  • Assessment of incoming correspondence and communications, often of a highly confidential nature, to determine appropriate action (collate background material, prepare draft responses, and refer to other officers for action or advice).
  • Organise conferences/workshops and official functions, prepare itineraries, arrange travel, and compile documentation for conferences/workshops and attend same, to provide secretarial and administrative support services.
  • Capable of relieving in higher duties and covering the role of Group Support Officer when required, while providing dedicated support to the EGM PCS and ensuring seamless service continuity.

 

About you

To be successful in this role, you will possess:

  • A suitable combination of comprehensive experience and/or education or training in administration, team support and personal assistant skills.
  • Unrestricted Driver’s Licence for a motor vehicle.
  • Demonstrated experience in establishing high levels of trust, integrity and responsibility in supporting the work of senior managers.
  • Advanced Microsoft Office skills using Outlook, MS Teams, Word, Excel and PowerPoint.
  • Well-developed interpersonal, communication and customer service skills which enable open and effective working communication with a broad range of stakeholders.
  • Proven experience providing efficient secretarial and administrative support services.
  • Ability to function efficiently and effectively with minimum or no supervision, and to positively influence peers by demonstrating high work goals and standards.

 

This position has a salary range of $76,846 - $87,279 (dependent on experience) plus 12.75% superannuation and is a temporary role until 30 June 2025.
